As part of efforts to strengthen its internal structure, Ujyalo Foundation is seeking a highly motivated and emotionally mature professional to provide support in operations, human resource systems, and executive leadership functions.

About Position:

The Operations & Executive Support Manager is a key organizational role responsible for ensuring smooth day-to-day operations, overseeing human resource processes, and providing direct, high-level support to the Executive Director. This position plays a central role in maintaining organizational efficiency and enabling effective leadership.

The ideal candidate brings positive energy, strong coordination and organizational skills, high emotional intelligence, and a solution-oriented mindset, with the ability to navigate complex tasks while supporting a collaborative and values-driven work environment.


Key Responsibilities:

Operations Management (40%)

  • Oversee daily office operations, logistics, procurement, vendor coordination, and asset management.
  • Maintain, update, and ensure adherence to organizational SOPs across teams.
  • Support programme logistics including travel, events, venue coordination, and documentation.
  • Ensure physical and digital filing systems are organized, updated, and audit-ready.
  • Provide proactive troubleshooting and operational support.

Executive Support (30%)

  • Manage the Executive Director’s calendar, meetings, travel, and communications.
  • Prepare briefs, meeting notes, follow-ups, and official documents for the Executive Director.
  • Coordinate communication between the Executive Director and team members.
  • Track organizational priorities and support timely execution.
  • Maintain confidentiality while providing executive-level support.

HR & People Support (20%)

  • Support recruitment, onboarding, offboarding, and HR administrative processes.
  • Maintain HR files, personnel records, and leave trackers.
  • Uphold feminist, inclusive, and values-driven HR practices.
  • Support staff wellbeing and internal communication.

Compliance & Governance Support (10%)

  • Coordinate donor compliance documentation.
  • Support preparation of audit folders and reporting documents.
  • Track compliance deadlines and maintain updated governance files.

Required Qualifications:

  • Bachelor’s degree in management, HR, business administration, or a related field.
  • Minimum of 3–5 years of experience in operations, administration, HR coordination, or executive support roles.
  • Excellent communication skills in both English and Nepali.
  • Strong organizational and time-management skills with high attention to detail.
  • Proven ability to handle sensitive information with discretion and confidentiality.
  • Prior experience in NGO operations is preferred but not mandatory.
