Reports to: Project Coordinator/Executive director

Duty Station: DJKYC Office, Arnama RM, Siraha (40% Office and 60% field base job)

Employment Type: Full-time

Duration: the first three-month probationary period.  The contract will be extended until March 31, 2026, with the potential for additional extensions, contingent upon satisfactory performance.

About Position:

In order to guarantee accurate, secure, and timely data about sponsored children and sponsors, the Sponsorship Communication and Data Officer is in charge of managing sponsorship systems. This position improves sponsored kid engagement and program efficiency while supporting sponsorship operations, compliance, and reporting. Translating and encoding Sponsorship Communication documents into the Child Data system is the job's responsibility. It guarantees the community's sponsorship program is implemented successfully. In addition to carrying out other tasks delegated by the organization, the position supports Monitoring, Evaluation, Research, and Learning (MERL) procedures technically and

Key Responsibilities:


1. Sponsorship Data Management and encoding

1.1 Encoding

  • Enter and update the Sponsored Child (SC) profile in Child using accurate and high-quality photos.
  • Data system in the allotted time.
  • Examine SC Profile inconsistencies and missing data, then submit a weekly report to SCA (Sponsorship Communication Administration of Plan International).
  • Create script files and profile data using Plan's software in accordance with Rural Municipality-specific requirements, then give them to the staff of the Sponsorship Communication Administrator (Plan International).
  • To finish the sponsorship cycle, scan the following documents and send them to SCA.
  • G/CMSC: Project area, sponsorship agreement, farewell letter, and pictures of SC and SC families (first and last).
  • SCR/SGR/OCC/NOI/WGC correspondence.
  • Scanning the SCI consent form.
  • Encode at least 60 to 75 Sponsored Child Introduction (SCI) and Sponsored Child Update (SCU) forms per day in order to achieve a monthly Key Performance Indicator (KPI) of 95%.

1.2 Data Management


Keep disaggregated data on Sponsored Children including their schooling, birth registration, disability, and sanitation status as needed.

Receive a CDPET extract file from SCA, upload images to CDPET (Child Data Photo Encoding Tool), then provide SCA digital photographs of SCs/SFs together with electronic SCI/SCU folders.

1.3 Translation:


Translate sponsored kid letters, cancelation memos, visit reports from Nepali to English, and sponsors' letters from English to Nepali and submit them to SCA.

Ensure that at least 30 Sponsored Child Response (SCR) letters are translated on time and accurately each day, as well as 25 to 35 Sponsor Letters.

2 Coordination/Capacity building

  • Participate in the NGO's periodic staff meeting to update on KPI progress, difficulties, and areas for improvement in sponsorship documentation received from the field.
  • Support and coordinate sponsorship Plan International's coordinator for field-level document production planning, training, and SCU/SCI production, as well as monthly report preparation.
  • Provide orientation, coaching, and on-the-spot guidance to volunteers and community groups on sponsorship processes, document quality, compliance, and safeguarding.
  • Support the implementation of sponsorship activities and engage with sponsored children and families in line with the SCYP Policy, ensuring all sponsorship documents are of good quality.
  • Work closely with the Plan International sponsorship team, field team, and program staff to ensure smooth day-to-day sponsorship operations.


3 Monitoring, Evaluation, Research and Learning

  • Ensure timely verification and submission of the Monthly Activities Tracker, Sponsorship Communication #2 Report, sponsorship reports, Direct/Indirect Reach data, and Non-Registered Program Participant information.
  • Develop and maintain a database or dashboard to track sponsorship data and MERL indicators, and provide timely analysis and visualizations to support decision-making.
  • Ensure accountability systems are in place during project implementation, and make sure program participants are informed about Plan’s Complaint and Feedback Mechanism.
  • Document community complaints and feedback, share them regularly, and ensure appropriate follow-up and responses.
  • Conduct field visits to program implementation sites to assess impact, meet stakeholders, and gather feedback, suggestions, and complaints.

Required Qualifications:


Education: Bachelor’s degree in any field such as Health, Public Health, Information Management, Social Sciences, or Business Administration.

Experience: At least 3 years of relevant experience in sponsorship program data management, including project monitoring and evaluation.

Required Skills:

  • Strong computer skills, including MS Excel, Word, PowerPoint, database systems, and tools like ODK or Kobo Collect.
  • Excellent communication and organizational abilities.
  • Experience working with marginalized communities, especially in Madhesh Province.
  • Strong communication skills in Nepali, English, and Maithili.
  • A valid motorbike driving license and willingness to travel frequently to field sites.

Safeguarding and Code of Conduct

The Sponsorship Data Officer must follow DJKYC’s safeguarding and child protection policies, as well as Plan International’s safeguarding and data privacy policies. He/She will actively promote the prevention of sexual exploitation, abuse, and harassment (PSEAH) and ensure that safeguarding is embedded in all sponsorship data and program activities, especially during data collection and community interactions.
