Position Summary
The Admin & Finance Assistant will support the daily administrative and financial operations of the Kalaiya office. The role includes office administration, petty cash management, logistics coordination, inventory tracking, vendor communication, and operational support for field activities and events.
This position is suitable for organized and detail-oriented individuals who can manage multiple operational tasks efficiently while supporting program implementation activities.
Key Responsibilities
Office Administration and Office Management
- Manage daily office operations and maintain a professional work environment
- Monitor office supplies, utilities, and consumables
- Maintain physical and digital filing systems
- Support coordination and scheduling for field and program teams
- Ensure maintenance of office equipment and facilities
Inventory and Asset Management
- Maintain inventory and fixed asset records
- Conduct regular physical verification of office assets
- Ensure proper asset tagging and documentation
- Coordinate with finance teams for asset reporting
Petty Cash and Expense Management
- Manage petty cash according to organizational policies
- Record office expenses and prepare settlements
- Support advance disbursement and financial documentation for field activities
- Track recurring operational expenses
Daily Operations Management
- Manage kitchen supplies and lunch-related expenses
- Maintain monthly lunch records and expense summaries
- Coordinate with local vendors and service providers
Logistics Support
- Support training programs, workshops, and meetings
- Coordinate transport, venue arrangements, refreshments, and accommodation
- Assist with field-level logistical operations
- Ensure proper documentation of event-related expenses
Vendor and Field Coordination
- Coordinate with local vendors and suppliers
- Maintain vendor records and quotations

Required Qualifications
