Job Title: Finance Admin, and HR Assistant

Reports To: Sr. Manager – Finance Admin & HR 

Position Type: Full-time with probation period as per organization policy 

Deadline: 15th Sep/2025 (31 Bhadra 2083)


About Position:

The Finance Admin and HR Assistant will support the smooth operation of the organization by assisting in financial record-keeping, administrative functions, and human resource management. The role ensures compliance with Nepal Government laws, Samriddha Pahad policies, and donor requirements while maintaining efficiency in daily operations.


Key Responsibility:

    1. Finance Support (Approx. 50%) 

    •  Assist in maintaining accurate and up-to-date financial records in accounting software (Tally, and SP MI system). 
    • Prepare and process vouchers, bills, receipts, and payments ensuring proper documentation. 
    • Assist in monthly bank reconciliations and petty cash management. 
    • Support preparation of monthly, quarterly, and annual financial reports for donors and management. 
    • Ensure proper filing of financial documents for audit and compliance purposes. 
    • Assist in tracking project budgets and expenditures against approved allocations. 
    • Coordinate with vendors and suppliers regarding invoices, payments, and tax compliance (TDS, VAT, etc.).


      2. Administration Support (Approx. 25%) 

      • Manage office supplies inventory and ensure timely procurement following organization procurement policy. 
      • Maintain asset and inventory register; conduct periodic asset verification. 
      • Ensure proper filing and record-keeping of contracts, agreements, and official correspondence. 
      • Coordinate logistics for meetings, trainings, workshops, and travel arrangements. 
      • Support in handling incoming and outgoing communications (emails, letters, courier). 
      • Liaise with local authorities for renewal of registrations, tax clearance, and other statutory compliances.

       

      3. Human Resources Support (Approx. 25%) 

      • Maintain updated personnel files with employment contracts, leave records, and other HR documents. 
      • Assist in recruitment processes: posting vacancies, scheduling interviews, and preparing interview materials. 
      • Support onboarding and orientation for new staff. 
      • Maintain attendance records and assist in payroll preparation. 
      • Coordinate staff performance appraisal documentation and training records. 
      • Ensure compliance with Labor Act 2074 (2017) and other relevant regulations. 


      Required Qualifications and Skills 

      Education: 

      Bachelor’s degree in Business Administration, Commerce, Finance, or a related field. 
      Experience:


      At least 1–2 years of relevant experience in finance, admin, or HR roles (NGO/INGO experience preferred). Skills: 


      Skills: 

      Basic knowledge of Nepal’s tax system, Labor Act, and NGO/Profit not distributing companies’ financial compliance requirements. 
      Proficiency in MS Office (Excel, Word, PowerPoint) and accounting software. 
      Strong organizational and multitasking skills. 
      Good interpersonal and communication skills in Nepali and English. 
      Ability to work under pressure and meet deadlines.
